Private aviation ground transportation, explained.
Transfers for private flights follow the aircraft, not the terminal clock. Here is what that means in practice.

Why private flights need different planning
A scheduled airline flight arrives against a published timetable and a gate. A private flight arrives when the aircraft does, at an FBO, and the time can move with weather, routing and the passengers’ own plans. Ground transportation therefore needs to be positioned against the latest estimate, not a fixed time.
The terms you will hear
The tail number is the aircraft’s registration, which in the United States begins with N. It identifies exactly which aircraft is being met. An FBO (fixed-base operator) is the general-aviation facility that handles passengers and aircraft on the ground. A handler or flight department coordinates arrangements on the operator’s behalf.
Giving the tail number, operator, airport and FBO lets a chauffeur coordinate with the people who are actually running the arrival.
Ramp access: what can and cannot be promised
Whether a car may meet an aircraft on the ramp is decided by the airport operator and the FBO, on their terms, and can vary by airport and by day. A trustworthy provider arranges access through the FBO where it is available and agrees a confirmed alternative meeting point where it is not. Be cautious of anyone who promises ramp access without reference to the FBO.
What to send before the day
Send the tail number and operator, the airport and FBO (or what is still to be confirmed), the estimated arrival or departure time and who will send updates, the number of passengers and bags including anything oversized, and any instructions the FBO or handler has given you. A mobile number the chauffeur can reach on the day completes the picture.
Vehicles and timing
An Executive Sedan or Luxury SUV usually suits principal travel, and an Executive Sprinter suits a crew or party. Several vehicles can be coordinated for one arrival. On the day, the chauffeur is positioned against the latest estimate from you or your flight department so a slipping arrival does not leave the car idling.
Questions
Can a car meet the aircraft on the ramp?
Possibly, but it is not ours to promise. Ramp access is granted by the airport operator and the FBO; we agree a confirmed meeting point with you either way.
Do you serve Manassas Regional?
Yes. Manassas Regional (HEF) is one of the general-aviation airports we plan for; tell us the FBO and we confirm before you commit.
